The meeting of the Board of Trustees of the Brockway Library was called to order at 9:08am by President Donna Hurtak. Present: Michelle Brown, Library Director; Board members: President Donna Hurtak, Vice President Cheryl Gowing, Toni Downs, Kathy Redmond, Laura Farley.






GUESTS: Library Science student, Clarion University.


1. Approval of minutes of the February meeting: Cheryl Gowing moved to approve minutes of the February 14th meeting and seconded by Toni Downs; motion passed.


2. Community Alliance Report: Kathy Redmond reported that Mayor’s Gala raised $78,000+ and that there was approximately $20,000 from sponsors pending. The mayor stated that eleven restaurants have expressed interest in Miami Shores since downtown area being hooked up to sewer system. Miami Shores People of Color, aka South Florida People of Color won the PhilanthropyMiami’s Shark Tank Award.


3. Financial Report: Michelle Brown presented the financial report: Overtime expenditures have decreased to 6% as all open library positions have been filled; Professional services are at 3%, expenses are at 38%. $9,000 in grant funds are still available. Toni Downs moved to approve budget report and Laura Farley seconded; motion passed.


4. Circulation Report: Circulation Report was presented - Circulations down slightly from January to 4,197 for February. There were 82 copies added for adults, 48 for youth, 57 DVDs, CDs and 32 donations.   23 copies were weeded and 54 books and media repaired. It was mentioned that many of the staff have been trained in book repair. 19 new patrons were added (10 adult residents, 6 child residents; 1 adult non-resident, 2 child non-resident) for a total of 8,594. Suggestions were made to feature new e-books in Egret and to increase presence in social media.


5. Old Business

-Sewer hook-up has been completed for the Library

-Digitization grand awarded; Monies to be received in April; Put in for digitized scanner which costs approximately $3000. We will be reaching out to FIU and Barry to assist in digitization.


6. Other Items

-Librarians, Brenda Holsing and Frances Walsh, will be attending the FLA Conference in Orlando in May.

-Donna Hurtak reminded board that GOAL has additional $4,000 available for Brockway Memorial Library.

-Expansion Project: No additional funding available from state. $584,842.09 available, includes $350,000 from Village. To conserve budget, looking at use of different flooring instead of building stage. Mr. Benton proposed one of rooms be built to withstand a category 5 hurricane to house emergency personnel. The Village would be responsible for any additional expenses regarding this proposal. A discussion ensued regarding reworking of plans.

-Cheryl Gowing said that since we have not done fund raising recently that we could create a “wish list” with items for the new children’s wing. Michelle Brown proposed we start the list when building commences.

-Pilot programs: $1,350/year and will be funded by GOAL donation, RB Digital: $1,097/year, SEFLIN membership is $1200/year and will be slated to start in Fall. Cheryl Gowing suggested we join SEFLIN, Toni Downs moved to approve joining SEFLIN, Kathy Redmond seconded motion. The motion passed.  

-Capital Budget FY ’18-’19: Michelle Brown plans to request $5,000 for a generator and personnel for new part time library position to work in archives and scan data. Cheryl Gowing suggested contacting FSU for possible internship to supplement digitization efforts.          


7. Announcements        

-History of Greater Miami Parts I and II with Seth Bramson: March 15th and 22nd at 6:30pm                

-Poses and Print: Saturdays, March 10th and 24th at 11am                                                                              

-Community Writer’s Group: Tuesdays at 10am                                                                                              

-Spring Roots and Shoots Children’s Garden Club begins this month through April                                        

-April 8-14 is National Library Week
