Meeting of the Board of Trustees

Wednesday, October 10, 2012

The regular meeting of the Board of Trustees of the Brockway Memorial Library was held at the library on Wednesday, October 10, 2012 at 9:00 a.m. Present were Library Director Elizabeth Esper and board members Cheryl Gowing, Donna Hurtak, Jennifer Quinton, Marianne Swan and Henry Harnage.

1.         Minutes

            The minutes for the September 12, 2012 meeting were accepted as presented.

2.         Financial Report

Ms. Esper presented the final financial report for fiscal year 2011-2012. It was noted that the unspent balance of more than $30,000 will be transferred to the Village’s general fund. The financial report was approved.

3.        Old Business  

  1. a.Art Exhibit

The artist reception of October 5th was well attended and many compliments were received on the current exhibit of artwork of Marguerite Defrance. The Fine Arts Commission (FAC) has proposed the date of Friday, January 18, 2013 for the next reception and exhibit featuring the photographic works of H. Allen Benowitz. This will be concomitant with the reception and installation of a new exhibit at Village Hall. A motion was made to approve the date of January 18, 2013. The motion was adopted.

         b. Office Renovation

               Four new staff desks and chairs are in place. The re-facing of the book browsers in the

               Children’s Room is nearing completion. Two new display shelves, four new stations

               for the catalog computers, and the new public use copy machine are expected to arrive

               shortly. Ms. Esper reported that the renovation plans for the kitchen/staff area are

               proceeding with the permitting process underway and that costs will be at or under


               Ms. Esper then requested that the board consider allocating monies from the Library

             Trust Fund to refurbish the staff area behind the front desk. A discussion was then held

               and a suggestion made to include the front desk area in the plans. Ms. Esper will

               research the matter and report back to the board. A motion was made to allocate the

             sum of $5,000 for the project. The motion was adopted.

4.         New Business

         a. Miami Shores Community Alliance

             Marianne Swan attended the October meeting and informed the board of pertinent

               items. The annual Mayor’s Community Benefit Gala is set for November 10, 2012.  

               The item donated by the board for the silent auction (a $100.00 gift certificate to the

               Village Stand) has been secured and delivered to the chair of the Gala.

            b. Circulation Report

                 September 2012

                5,019 items circulated          

                     195 new items processed      

                       56 items withdrawn            

                       25 items repaired

           Knit/Needle Arts – weekly on Tuesdays at 1:30 p.m.

           Story Time Fun for Preschoolers – weekly on Tuesdays 11:00-11:45 a.m.

           Art Exhibit continues through Nov. 9th

           Reading Circle – Oct. 11th at 6:00 p.m.

           Chess for kids & teens – Oct. 12th at 3:30 p.m.  

           Scrabble Saturdays – Oct. 13th & 27th at 10:30 a.m.

           American Girls Club – Oct. 17th - 3:30 – 5:00 p.m.    

           Kids Learn to Knit with Abbey – Oct. 18th at 3:30 p.m.

           Spooky Story Time – Oct. 24th at 3:30 p.m.

           Brockway Recipe & Travel Club – Oct. 25th at 6:00 p.m.

          Library Garden Club – Nov. 3rd at 9:30 a.m.

           Memoir Writing Workshop with author Norma Watkins will be held November 26th, 27th,

           and 29th from 6-8 p.m.

The next meeting will be held on Wednesday, November 14, 2012 at 9:00 a.m.

The meeting adjourned at 10:03 a.m.
