Wednesday, November 13, 2013

The regular meeting of the Board of Trustees of the Brockway Memorial Library was held at the library on Wednesday, November 13, 2013 at 9:00 am. Present were Library Director Elizabeth Esper and board members Cheryl Gowing, Henry Harnage, and Antonie Downs. Board Members Donna Hurtak and Jennifer Quinton were absent.

  1. Minutes

The minutes of the October 9 meeting were unavailable and will be reviewed for approval at the December meeting.

  1. Financial Report

Ms. Esper presented the financial report. It was suggested that the e-books budget which was funded for the initial year be moved to the operating budget for the second and continuing years. The report was approved by the Board.

  1. Old Business
    1. Parking meters.

Cheryl Gowing presented a draft proposal for formal presentation at the Village Council. Several editorial changes were suggested and the proposal will be revised and distributed to all board members by e-mail for further comment and approval. Henry Harnage will invite the Miami Shores Fine Arts Council to participate in this project at the next Miami Shores Community Alliance meeting.

  1. Library Green Day Participation

Cheryl Gowing and Toni Downs reported on the success of the library participation. The Library brought in $260 from book and bake sale. It was suggested that the venue did not lend itself to programming and that three tables instead of two would enable a better display of the books and baked goods. Several other suggestions will be considered for next year (e.g. signage/flyer distribution).

  1. The Board suggested that the library advertise the fact that gift and in memoriam books may be searched in the online catalog by the name of the donor.
  1. New Business
    1. Circulation Statistics. 5888 items were circulated; 157 items processed and 21 items decommissioned.
    2. Community Alliance Report

Henry Harnage reported that the library received kudos for its cooperation and providing of historical posters for the Mayor’s Ball. The meeting dealt almost exclusively on the Mayor’s Ball which was a huge success.

  1. Discussion of the final design drawings will be held at the December meeting

The December 11th meeting is the designated staff holiday party and will be held at Donna Hurtak’s house starting at 8:30 am.
