Meeting of the Board of Trustees

Wednesday, January 8, 2014

The regular meeting of the Board of Trustees of the Brockway Memorial Library was held at the Library on January 8, 2014 at 9:00 a.m. Present were Elizabeth Esper, Library Director, and board members, Cheryl Gowing, President, Henry Harnage, Donna Hurtak, and Jennifer Quinton. Excused absences: Toni Downs.

  1. Minutes

The minutes of the December meeting were approved as read.

  1. Financial Report

Ms. Esper reported that Helene Buechele had donated $1500 in honor of her father.   It was decided that a plaque in honor of Earl Barber would be added to the donor wall, as the family has made donations to the library totaling over $1000 in memory of him.

The financial report was approved as presented.

  1. Old Business

Ms. Esper reported that, contingent upon the receipt of $5000 donation, a wooden plaque would be placed over the newspaper rack memorializing Mr. Buechele and his interest in the newspaper collection.    

Paula Xanthopoulou will be invited to attend the February board meeting to share her insights on the formation of a fundraising committee for the Children’s Room addition.

The Parking Meter Donation Station request was revised and approved as discussed at the December meeting. Ms. Esper will give the request to Village Manager Tom Benton for distribution, discussion, and vote of the Village Council for their Jan. 21, 2014 meeting. Jennifer Quinton will contact John Camp, the originator of the request, to invite him to attend the Village Council meeting to add remarks in support of the measure.

The Time Capsule program, initiated by the state’s Division of Library & Information Services, did not generate any local contributions and was discontinued.

  1. New Business

Ms. Esper reported that she was interviewed by a consultant hired by Miami-Dade County to work with the Blue Ribbon Panel appointed to review and make recommendations concerning the operations of the Miami-Dade County Public Library System.   She provided information regarding the Brockway Memorial Library’s operation as an independent municipal library and the generous support and involvement the library enjoys from Village residents. Ms Esper reiterated that the Brockway Library Board had investigated a reciprocal library program with the MDPL System and reaffirmed the decision to remain as an independent municipal library. At the Board’s direction, Ms. Esper will follow up with a letter to the consultant restating the Board’s position, as the consultant has continued to contact her to push for involvement with the County system.

Library December Statistics:   5195 circulations; 236 volumes processed; 176 volumes withdrawn; and 24 volumes repaired.   It was noted that the e-book circulations have been lower than expected, in spite of continued marketing of the program in the Village newsletter and library signage.

Community Alliance Report:   Henry Harnage reported that the new grant request forms for funding from the Community Alliance would be available in February

  1. Announcements

There will be a full slate of programming for adults and children during January as listed in the meeting agenda.   It was noted that the “Reading with Erma” therapy dog program will be resuming in February, with Erma and her handler visiting the library during the weekday afternoons rather than Saturday morning.

The Board was reminded of the Rene Barge art opening reception on Friday, Jan. 31, 2014. Mr. Barge’s works will remain on exhibit in the library through February 28, 2014.

The next meeting will be held on February 12, 2014 at 9 am.
