Meeting of the Board of Trustees

Wednesday, December 12, 2012

The regular meeting of the Board of Trustees of the Brockway Memorial Library and annual holiday breakfast were held at the home of Jennifer Quinton on Wednesday, December 12, 2012 at 8:30 a.m. Present were Library Director Elizabeth Esper and board members Cheryl Gowing, Donna Hurtak, Jennifer Quinton, Marianne Swan and Henry Harnage.

1.         Minutes

            The minutes for the November 14, 2012 meeting were accepted as presented.

2.         Financial Report

           Ms. Esper presented the financial report noting no unusual items. The financial

           report was approved.

3.        Old Business  

            a. January Art Exhibit

             The artist reception for the next art exhibit featuring the photographic works of  

               H. Allen Benowitz will take place on January 18th. Board members are

               encouraged to attend.

           b . Office Renovation

                 Ms. Esper reported that the kitchen area renovation project is awaiting a final

                 permit before work can commence.

           c. Policy Addendum

               President Cheryl Gowing presented a proposed addendum to the library policies  

               as discussed at the November meeting to clarify that Brockway Memorial

               Library is an independent municipal library and as such does not participate in  

               the reciprocal borrowing program with the Miami-Dade County Public Library

               System. After due consideration, the board determined that it is in the best

               interest of Miami Shores residents for the library to remain in this posture with

           agreement that the issue may be revisited every five years. A motion was made

              to incorporate the addendum into the library’s policies. The motion was

               adopted.

 

4.           New Business

 

  1. a.Posting of Minutes Online

Ms. Esper informed the board that the Village Council recently adopted a motion that all village boards post the minutes of board meetings online via the village website.

                       

           b. Local History Project Grant

                 President Cheryl Gowing informed the board of an NPR sponsored grant

                 opportunity for public libraries. The program would provide funding and

                 equipment to record and document local history. She and Ms. Esper will

                further explore the possibility of applying for this grant.

            c. Miami Shores Community Alliance

              Marianne Swan attended the December meeting and informed the board of                     pertinent items. Preliminary figures indicate that the November ball was

                 extremely successful. Grant applications have been distributed and are due in

                 January.

d. Circulation Report

    November 2012

    4,846 items circulated

       175 new items processed

                   102 items withdrawn

       23 items repaired

5.         Announcements

 

           Knit/Needle Arts - weekly on Tuesdays at 1:30 p.m.

           Story Time Fun for Preschoolers - weekly on Tuesdays 11:00-11:45 a.m.

           Library Garden Club – Dec. 1st annual holiday luncheon

           Scrabble Saturdays – Dec. 1st at 10:30 a.m.

           Puppet Theater – Dec. 5th at 3:30 p.m.

           Knitting with Abbey – Dec. 6th at 3:30 p.m.

           Chess for kids, teens, and families - Dec. 7th at 3:30 p.m.

           After School Stories – Dec. 12th at 3:30 p.m.  

           Brockway Reading Circle – Dec. 13th at 6:00 p.m.  

           American Girls Club Holiday Party – Dec. 19th 3:30 – 5:00 p.m.  

           Marionette Show “The Wishing Fairy” Dec. 20th 4:00 – 4:30 p.m.

 

The next meeting will be Wednesday, January 9, 2013
